Master Keying Designed Before It Is Cut
A master key system lets one key open every door while each individual key opens only its own. Inside each cylinder that is achieved by adding a second shear point to some pin stacks, and every additional level adds more. Done on paper, with a schedule, it is elegant. Done at the door by improvisation, it produces cylinders that accept keys nobody intended to grant — a genuine risk that only shows up years later when somebody tries a key on the wrong door and it turns.
So we start with a door schedule: every door numbered, every door assigned to a group, and every person or role assigned to the groups they need. That document is the system. The pinning follows from it mechanically, and you keep a copy, because a keying system whose schedule lives only in a locksmith's filing cabinet is a system you do not really own.
Levels that make sense for a small business
Most businesses under twenty doors need three levels and no more: a grand master for the owner, a master per functional area, and individual change keys per door. Adding a level per department in a ten-person company creates complexity with no benefit and weakens each cylinder for nothing. We will tell you when a plan is more elaborate than the building justifies.
Consider a restricted keyway for the master level even if the change keys run on an ordinary keyway. The master key is the one that matters, and controlling copies of that single key delivers most of the benefit of a fully restricted system at a fraction of the cost.
Exit Devices: The Rules Are Not Optional
Any door designated as an exit route must open from the inside in a single motion, without a key, without special knowledge, and without tight grasping or twisting. That is the principle behind panic bars and fire exit hardware, and it is the reason no legitimate locksmith will ever chain, padlock or key-lock an exit door shut, whatever the shrinkage problem is.
Fire-rated exit devices carry an additional requirement: they must latch positively so the door holds the fire compartment closed, which is why fire hardware has no hold-open function. Fitting a non-fire-rated device to a fire door, or removing the latching, breaks the rating of the whole assembly. Replacement parts on a fire door have to be the listed parts, not equivalents that look the same.
What actually goes wrong with panic hardware
Touchbars wear at the pivot and start to sit low. Latches drag on a strike that has moved with the frame. Dogging mechanisms — which hold the latch retracted during trading hours on non-fire doors — get left engaged and then seize. Vertical rod devices go out of adjustment so the top rod no longer reaches its strike, which leaves the door held only at the bottom. That last one is common and it is invisible until someone leans on the door.
Exit hardware deserves a scheduled check rather than a reactive one. Operate every exit device in the building on a fixed interval, watch the door latch fully behind it, and note anything that needs a shove. It takes ten minutes a month and it is the difference between a working exit and a door that everybody assumes works.
Door Closers and the Doors That Sit Ajar
A door closer is a spring and a hydraulic damper. The spring provides the closing force and the hydraulics control the speed, in two distinct zones: the main sweep and the final latching action. A door that closes fast and bangs has its sweep too quick. A door that eases to within an inch and stops has lost its latch speed, and that is the single most common reason a commercial door sits unlatched overnight while appearing closed.
Closers leak. Oil around the body or a wet patch on the door face means the seals have gone, and a leaking closer cannot be adjusted back into usefulness — its force falls as it loses fluid. Replacing it is straightforward; adjusting it repeatedly is not a repair.
Closer power is graded to door size and weight, and an exterior door facing prevailing wind needs more power than the same door indoors. A closer that is too weak leaves a door ajar in a breeze; one that is too strong makes an entrance nobody can use comfortably, which is how wedges appear under doors. Both problems present as a security failure and both are actually a specification failure.
Aluminium Storefront Doors
Narrow-stile aluminium doors are their own discipline. The lock is usually a hook bolt or a deadlatch driven by a small mortise cylinder, and the frame gives very little material to work with. Common failures are the cylinder working loose so the key turns without moving the bolt, a hook bolt missing its keeper on a pair of doors, and pivots or bottom arms wearing so the leaf drops and stops aligning.
A dropped storefront door announces itself: the top of the door rubs, the lock stops engaging, and staff start pulling the door toward them to lock up. That pulling is what finishes off the cylinder. Correcting the pivot or the closer arm restores the alignment and stops the recurring lock damage.
Weatherstripping matters here for a reason that is not comfort. A storefront door with failed sweeps lets wind-driven rain reach the threshold and the bottom of the frame, and on this coast that accelerates corrosion in exactly the area that carries the door's weight.
Access Control Without Overbuying
Electronic access earns its place where staff turnover is high, where you need a record of who entered, or where several sites share people. It does not earn its place on a two-door shop with three long-serving staff, and being sold a system for that building is common. The honest question is what problem the electronics solve that a well-planned key system does not.
Where it is warranted, the practical benefits are real: revoke a fob the day someone leaves rather than rekeying, schedule a door to unlock at opening and secure at closing, and pull a log when stock goes missing. The thing to check before buying is whether the system keeps working with the network or the internet down, and whether credentials are stored locally at the door.
Whatever is fitted, the mechanical override still has to exist and still has to work. A power failure must not trap anyone inside or leave a building standing open, and that is a wiring and hardware decision made at design time rather than discovered during an outage.
Maintenance That Prevents Emergency Calls
- Operate every exit device monthly and confirm the door latches behind it
- Check closers for leaks and for a door that stops short of latching
- Tighten and check narrow-stile cylinder retaining screws twice a year
- Lubricate exterior cylinders with a dry lubricant, never household oil
- Reconcile the key register against staff currently employed, quarterly
The last item is the one businesses skip and the one that costs most. Keys accumulate with departed staff, contractors and former managers, and a register that has not been reconciled in two years is a list of guesses. Rekeying a group of doors is a planned expense; discovering the problem after an incident is not.
Restaurants, Clinics and Buildings With Awkward Requirements
Some premises carry obligations that change what hardware is appropriate, and the wrong choice is discovered at an inspection rather than at a break-in.
Food service
Kitchens have wash-down areas, heat and grease, and hardware in those zones corrodes faster than anywhere else in a commercial building. Walk-in cold rooms need internal release hardware so nobody can be shut inside — that is not optional and it should be tested, not assumed. Rear doors used for deliveries and refuse are the ones propped open most often, which makes an alarmed exit device more useful there than a stronger lock.
Clinics and offices holding records
Where patient or client records are stored, access to that room usually needs to be limited and, ideally, recorded. That is a genuine case for an access-controlled door or at minimum a separately keyed one that is not on the general staff master. Medication and controlled storage has its own specific requirements which the practice will already know; the locksmith's job is to fit what those requirements name.
Multi-tenant buildings
A shared building needs its master key plan agreed between landlord and tenants before cylinders are cut, because a tenant who later fits their own cylinder breaks the landlord's access and a landlord who rekeys without notice breaks the tenant's. Writing the arrangement into the plan avoids a dispute that otherwise surfaces at the worst moment.
In all three cases the useful question is the same: which doors would cause a real problem if the wrong person passed through them, and does the current keying reflect that? Most buildings we survey have their strongest hardware somewhere other than the answer.

Can you lock our back exit so staff stop using it?
Not with anything that stops it opening from the inside. An exit route must open in a single motion without a key. What we can do is fit an alarmed exit device that sounds locally when the door is used, which stops casual use without breaking the exit.
How many levels should a master key system have?
For most businesses under twenty doors, three: a grand master, a master per area, and a key per door. Every additional level adds shear points inside every cylinder and complexity to the schedule, for benefits that a building that size rarely needs.
Our front door stops just short of closing.
The closer has lost its latching speed, or it has lost fluid altogether. That is the usual reason a commercial door appears shut but is not latched. If there is oil on the body or the door face, the seals have failed and the closer needs replacing rather than adjusting.
Our aluminium door key turns but the lock does not engage.
The narrow-stile cylinder has worked loose from its retaining screw, so the cam is no longer driving the bolt. It is a quick fix. If it keeps recurring, the door has usually dropped on its pivots and staff are pulling it to lock, which is what loosens the cylinder.
A manager left and did not return their key. What do we do?
Rekey every door that key opened. If it was a master, that is the whole group it covered. This is exactly what a maintained key register is for — it tells you the scope instead of leaving you to guess.
Do we need electronic access control?
Only if you have a problem it solves — high staff turnover, a need for entry records, or shared staff across sites. On a small shop with stable staff, a well-planned key system does the same job for far less. We will say so rather than sell you a panel.
